1.Privacy Policy

At our Company, we want you to know and have control over what data you share with us and what we do with it. This document (referred to as the Privacy Policy) explains in plain and clear terms what data we collect and how we use it. Its purpose is to help you stay informed and decide what data you wish to share with us and in what manner.

2.Data Controller

The company ATMOKATHARISTITIO ZACHARIAS IRAKLEOYS KAI YIOI LTD, with registration number HE 82483 and registered office at Filokti 7, 7101 Aradippou, Larnaca, with Tax Identification Number 12082483Q and VAT Number 10082483O (hereinafter the “Company” or “we”), is, in accordance with the law, the controller responsible for processing the personal data of visitors to the website www.acropoliscleaners.com (hereinafter the “Website”) and its users (both registered and non-registered), in the context of providing services for the display, categorisation, and comparison of product prices, as well as in the context of ordering and purchasing products from the Company (hereinafter the “Company’s Services”).

3.Personal Data We Collect

In the context of providing the Company’s Services, we may collect and further process the following personal data, depending on the functionalities you use:

  • Identification details, such as full name, registered username, password, and registration date, if you log in with an account you hold.
  • Identification details, such as username/user registration number, profile photograph, date of birth, email address, and gender, if you log in using a third-party provider account (e.g. Facebook, Google+, Apple).
  • Contact details, such as email address, postal address, and telephone number.
  • Additional details when you use the Website’s Shopping Basket, such as basket products, order number and date, delivery status, order amount and shipping costs, information relating to any cancellation, amendment, or return of an order, IBAN and full name of the bank account holder (including any relevant supporting document), cardholder name, expiry date, and pseudonymised bank card number (in the format 123456XXXXX7899).
  • We do not have access to your full bank card details, as we apply the strong security and encryption standards of the PCI (Payment Card Industry). You can make payments on the Website with complete peace of mind!
  • Details we receive when you share your opinion about the Company’s Services, such as comments, images, product and store reviews (including any photographs, receipts, and order numbers you send us), satisfaction surveys, questions and answers, as well as your observations or suggestions to help us improve (including text, audio, and/or video messages you send us).
  • Free-text details and any reference to a represented company, received in the context of you submitting a query via the Website’s dedicated contact form.
  • Information collected through tools such as cookies and local storage, including your searches on the Website with any filters or other sorting/comparison options, the products you view, details of purchases made via the Website’s Shopping Basket, your interaction with the Website’s Services and the functionalities of our website/app (such as marking products as ‘Saved’, ‘Favourite’, or ‘I have it’), your navigation to a partner store’s website (where applicable), purchases you make on certain partner store websites (where applicable), technical error and security issues relating to browsing and transactions, IP address, device type and manufacturer, browser type, operating system or application type and version, your referral to the Website from another website, advertising identifiers, and other general statistical information about our users. In particular, by accepting Google Signals cookies, we collect the above information when you visit the Website from any device on which you are logged into your Google account.
  • Voice recording, in limited cases, when you call our customer service centre or when placing telephone orders.
  • Transaction verification details (receipts, payments, shipments, returns, cancellations, compensations, etc.) for transactions carried out via partner merchant websites, in limited cases of suspected fraud.

4.Why We Collect It

Your personal data listed above is processed by us exclusively for the purposes set out below and in accordance with the following lawful bases:

  • The Website processes your data in order to provide you with the Website’s Services that you choose to use, such as: new member registration and account management, management of your preferences, submission and management of your queries, reviews, comments, and images via our website/app, including the use of dedicated electronic contact forms, fulfilment of your order via the Website’s Shopping Basket, including management of amendments/returns, updates on the progress of your order, and the provision of telephone or electronic customer service and support.
  • This also includes the contractually necessary call recording at our telephone customer service centre, when you submit a request relating to your order on the Website that we may need to be able to evidence, as well as call recording in the context of telephone orders.
  • It is in the Company’s legitimate interest, through the Website, to carry out checks to prevent fraud in transactions or malicious use of the Company’s Services, as well as to ensure the smooth operation and security of its systems, to verify the authenticity of registered users (e.g. in order for them to submit genuine comments and reviews), to analyse consumer trends and user profiles for internal research and development purposes, and to suggest to specific users that they submit a response to another user’s query or a product/partner store review.
  • Specifically, in the context of the aforementioned fraud prevention checks, it is in the Company’s legitimate interest to request and receive from you and/or directly from partner merchants (or to process already existing) transaction verification details (receipts, payments, shipments, returns, cancellations, compensations, etc.) relating to users’ transactions on the Website. This facilitates the timely identification and legal handling of cases of fraud or misuse of the Company’s Services by users and/or the Company’s partners, with the ultimate aim of protecting both the smooth functioning of the market and the reputation of the Company and its Website.
  • Furthermore, with regard to registered users of the Website, on the basis of electronic communications legislation, we have a legitimate interest in conducting satisfaction surveys and other general or personalised promotional communications through various channels, such as email, SMS/Viber/WhatsApp messages, push notifications, and social media advertisements. To achieve this, we process your contact details (email address, telephone number, IP address), advertising identifiers, and your profile and purchase data in an automated manner. You may activate or deactivate such promotional communications or select your preferred communication channels, either via your profile settings (as a registered user), by simply selecting ‘unsubscribe’ in the relevant electronic communication, or via any other customised unsubscribe method provided free of charge and easily.
  • Our Company is required by law to cooperate with the competent authorities in combating specific incidents relating in particular to purchases made via our website/app that are deemed suspicious for fraud, unauthorised use, or theft of a bank card, etc. We are also required by law to manage and respond to your requests relating to the protection of your personal data.
  • Through the use of the product review submission functionality, each user acknowledges that the information they provide, which may reveal personal preferences, habits, or even sensitive health-related personal data, is manifestly made public by the user themselves for that purpose. Accordingly, the Company, relying on this voluntary act of disclosure by users, processes the said details for the purposes stated above.

5.Consent

On the basis of your consent, we will process text, audio, and/or video data that you may choose to share with us on our Website in order to submit queries, improvement suggestions, or to express your interest in participating in a Company user research study, as well as when you upload photographs and/or videos.

Additionally, for a limited, sample number of calls to our customer telephone service centre, we will request specific consent for the recording of the call, for the purposes of training and quality assurance of the telephone centre, independently of any contractually necessary recording.

Furthermore, subject to your consent for the use of technologies such as cookies and local storage on your device, information about you is automatically collected in order to provide you with a premium personalised experience on our Website, to help you more easily find what you are looking for, to analyse our traffic, and for commercial use by our partners.

Additionally, when simply searching for products, you may allow your browser to automatically share your precise location (geolocation) with us. We will rely on your consent in this regard in order to display better search results for you. You may remove this location data and withdraw your consent only directly via your browser’s location privacy settings.

Several of the services we provide require additional data in order to function. For example, you must have an account on the Website in order to save products or use the ‘Website Shopping Basket’. The data you choose to share with us is collected and used for the operation of our Services. Additionally, when you use our Services or visit other pages that incorporate content from our Website, we may receive data relating to you. 6.Account Details

If you choose to create an account on our Website, we will ask for your email address and a username. Alternatively, you may register using a third-party provider account (e.g. Facebook, Google+, Apple), in which case the corresponding username, any associated email address, and other login details such as your profile photograph will be used. Your username will be displayed across all your public activity, such as discussions and product reviews. We will use your email address and mobile telephone number to communicate with you and to send you notifications (including promotional communications) from our Company. You may choose which notifications you receive by using your account settings.

If you wish to publish a review or purchase products through the Website, you will additionally be asked to provide a mobile telephone number in order to verify your account. For the purpose of fulfilling your order, this number is also shared with the courier company, and solely for that purpose.

Finally, you may choose to share details such as your gender and age with us, to help us better understand our audience and tailor our suggestions to you.

7.Public Information

In all cases, content that you publish on the Website will be available to all visitors of the Website. In particular, your reviews will be available and will be displayed alongside the username you have chosen.

8.Location

You may choose to share an address/area with us in order to help you select the appropriate product for your purchases, for example by calculating the shipping cost. This address/area does not need to be exact and will not be used by us for any other purpose. For the use of certain Services, we will request an exact address, as it is necessary for the delivery of your order that we are managing.

Additionally, if you have permitted your browser or device to automatically share your precise location (geolocation) with us, we will use this location to display better search results for you, and in particular to provide accurate results in the store ‘distance’ filter, accurate calculation of the final price including shipping and cash-on-delivery costs, proximity of stores to your area, or to help you save a general address to your profile.

9.Saving Products and Purchases

If you choose to do so, you may save your favourite products or purchases to your account. We may ask you via email to write a review for one of the products you have, or send you notifications about changes (e.g. a price drop) to products you have indicated you are interested in. You can manage your favourites or saved orders and select the notifications you receive using your account settings.

10.Saving Delivery / Payment Details

Delivery details are saved for use in future orders and for the calculation of shipping costs in your searches. You can view and manage your addresses in your account settings. If you choose to do so, you may save your card details for future transactions. In this case, the details will be stored securely with a licensed payment service provider.

11.The Website Shopping Basket

If you choose to use the ‘Shopping Basket’, we will additionally ask for your mobile telephone number for account verification purposes, your credit or debit card details, and your delivery details (full postal address, full name, and contact details) for the products you wish to purchase. Your card details are transmitted securely to a licensed payment service provider in order to process the payment and are not stored on the Website. In order to fulfil your order, we share your delivery details with the courier company and with the partner store that will be processing the order, while the contents of your order are shared only with the partner store (where applicable).

If you request a refund for an order paid by cash on delivery, we will additionally require the IBAN of a bank account, the account holder’s full name, and potentially a relevant supporting document/photograph of these details, in order to process your refund securely.

12.Analytics Data – Cookies

Certain partners of the Website (where applicable) use the Analytics functionality, which is based on cookies. When you navigate from the Website to a partner website that has the Analytics service enabled, provided that you have previously given your consent for ‘Performance’ cookies on the Website and have subsequently also given your consent on the partner website, browsing data for your session and any purchases you make at that particular store is transmitted to the Website.

In order not to participate in the collection of browsing data and subsequent generation of statistics via Analytics, it is sufficient either not to consent to ‘Performance’ cookies on the Website from the outset or not to do so on the partner website. You may also modify any previously given consent on the Website in the future, at the bottom of the Website’s cookies policy, where you can view in detail, under the ‘Performance’ category, exactly which cookies we and our partners use in the context of Analytics data.

The purpose of Analytics is to generate sales analyses and statistics across dimensions of Website, product, and category. This helps both us to develop and improve our Services by analysing user interaction with them, and partner merchants, who receive an overview of product popularity. For this reason, given the common purposes and means of processing, and solely with regard to the Analytics data described below, we are considered by law to be Joint Data Controllers with each respective partner merchant, with whom we enter into specific contractual data protection clauses.

In all cases, we kindly ask that you address any request relating to the use of this technology to us, as the appropriate point of contact.

The browsing events recorded — and only where the user has previously given consent for ‘Performance’ cookies on both the Website and the partner website (where applicable) — are: navigation from the Website to a partner website, visits to pages on the partner website, purchase of specific products and detailed information thereof (order number, amount, products, payment method, shipping costs, etc.), time of browsing, IP address, device-related information (such as operating system version, connection via app or web, browser version), and any service-improvement identifiers/keywords (meta-tags). The above are linked to a random user and/or order identifier, from which the user cannot be directly identified by the Website.

Information about a user that we receive from partner websites in the above manner may be directly associated with that user’s account on the Website (username) only upon the user’s own specific action (e.g. saving an order on the Website).

Otherwise, data collected through Analytics may be considered personal data under applicable data protection legislation, as it could theoretically be used to identify a user (even if it does not do so directly). For this reason, in keeping with our values of maximum user protection, such data is treated by us in all cases and in its entirety as personal data, and we apply all appropriate technical and organisational security measures accordingly.

Cookies used for the collection of browsing data for the purposes of the Analytics functionality are deleted within a short period of time (within 15 days), in accordance with commonly accepted sales acquisition practices, i.e. the identification of a visit and/or purchase. This data is retained for a period of up to two (2) years and is thereafter anonymised (meaning it is no longer considered personal data under the law) and remains as statistical data in the Website’s systems. In this context, we may publicly share information to show trends in the general use of our services.

13.Call Recording

When you call our customer telephone service centre regarding your order via the Website, you will be informed by us that part of your call may be recorded for the purposes of evidencing the transaction. That is, the call is not recorded in every instance, but only where we identify that you are submitting a verbal request that is significant for your order (e.g. change of postal address, cancellation, etc.), so that we are able to evidence what was agreed verbally, in the event of a dispute. When recording is about to commence, you will be informed by our designated representative and will hear the characteristic notification tone.

If you do not wish for your voice to be recorded, you may always choose to contact us in writing via the available contact form.

Additionally, for a limited, sample number of calls to our customer telephone service centre, we will request specific consent for the recording of the call, for the purposes of training and quality assurance of the telephone centre. That is, independently of any contractually necessary recording as described above, if you explicitly permit us to do so, we will record your entire call in order to help our employees and partners improve their telephone customer service skills, through the playback of examples of good and poor service.

Finally, in cases where you place a telephone order via the dedicated telephone line, you will be informed that your call will be recorded for the purposes of evidencing the transaction.

14.Automated Processing

We use automated processing methods, including the creation of user profiles, without this having any legally (or similarly) significant consequences. For example, if you have accepted Preference cookies on our Website, we will display personalised product suggestions, recently viewed products, etc. on our website.

Equally, provided that you have not unsubscribed from our promotional communications, and based on your region, account profile, and purchase history, we will send to your email address and/or other communication channels activated in your profile settings, purchase suggestions on our Website that may be of interest to you.

We also use automated means to analyse consumer trends and user profiles for internal research and development purposes.

15.With Whom We Share Your Personal Data

Your personal data is collected and further processed by the authorised teams of the Website, with full respect for your privacy. In the context of providing the Company’s Services, recipients of your personal data may include the following categories of our partners:

  • Providers of website or app analytics and performance measurement services, telephone solution providers, social network providers, and online map providers. Your data may be transferred outside the European Economic Area, although the relevant data storage takes place primarily within the EU and strict contractual clauses are in place governing such transfers.
  • Payment service providers, such as G.A.P VASSILOPOULOS GROUP.
  • Data network service providers for the connection of our infrastructure to the internet.
  • Partner websites (where applicable), in the context of fulfilling your order via the ‘Website Shopping Basket’, or resolving a dispute or query.
  • Partner courier companies, in the context of delivering your order placed on the Website.
  • Partner technology communication solution companies, in the context of managing our incoming and outgoing communications with you. Your data may be transferred outside the European Economic Area by these companies, although the relevant data storage takes place primarily within the EU and strict contractual clauses are in place governing such transfers.
  • Other companies within the Company’s group, for the purpose of carrying out support functions for our Services.
  • Partner companies providing customer service.
  • Partner companies providing supplementary Services in relation to the Website Shopping Basket, such as warranty extension, installation, and device recycling, where these are selected by the user.

  • Other categories of partners to whom it may be necessary on a case-by-case basis to transfer data in the context of the operation of the Company’s Services.
  • Police authorities and any other administrative, judicial, or public authority, or legal or natural person to whom the Company may, by law or court order, be under an obligation or have a right to disclose such data.
  • Third-party advertising service providers, such as Google, to whom comments, reviews, and ratings may be transmitted in anonymised form. The transfer of users’ data takes place in the context of the Company’s legitimate interest in promoting and advertising its products and services, and in a manner that ensures in all cases that the data transferred cannot uniquely identify the individual user (for example, through the use of a random code).

Furthermore, in the context of the Analytics operation, we share, as Data Controllers, with each partner using these functionalities, information in the form of either statistical or aggregated data on the popularity of products, stores, and categories, or users’ purchase data respectively. In this context, we enter into specific contractual data protection clauses to ensure that the necessary data security measures are maintained. For any issue relating to the use of these technologies, we kindly ask that you address your request to us as the appropriate point of contact.

Additionally, in the context of managing incoming requests and queries relating to the progress of your order through the Website, as well as managing related returns, losses or compensations, and general accounting management of the cooperation, we act as Joint Data Controllers with partner courier companies in respect of these details. For any issue relating to the processing of your personal data in the context of this management, we kindly ask that you address your request to us as the appropriate point of contact.

Your comments and images that you publish, or the reviews you submit on the Website, are publicly visible both on the Company’s Website/app and, on a case-by-case basis, on certain partner websites, meaning any other visitor to those websites can read them.

16.How Long We Retain Personal Data

The Company retains the personal data of registered users on its Website for as long as they maintain their account. The personal data of non-registered users arising from their interaction with the Website is retained for a period of up to two (2) years following their last visit to the Website.

An exception applies to data that serves as evidence of a transactional relationship arising from the use of the Company’s Services. Such data is retained for a period of up to five (5) years from the relevant transaction, even if in the meantime a request for account and/or personal data deletion is submitted.

Details of recorded calls that document a transaction or an amendment thereto will be retained for a period of up to six (6) months, while details of recorded calls for training and quality assurance purposes will be retained for a period of up to two (2) months.

Your personal data collected in the context of submitting suggestions and comments or expressing interest in participating in Website user research studies is retained for the entire duration of the analysis and processing of the submitted responses and at the latest for six (6) months following the submission of your relevant response by video, audio, or text.

In all other cases, upon expiry of the retention period or if a user requests deletion of their account or data and no legal proceedings or other dispute or legitimate interest arising from the use of the Company’s Services is pending, their data will be deleted as soon as possible or anonymised.

17.Your Rights

You may check, correct, and/or delete your data at any time via your profile settings, if you are a registered user. For example, you may request deletion of your account, use your account settings to exclude your data from certain forms of processing, opt out of receiving newsletter emails, deactivate certain types of notifications, etc.

More generally, in accordance with data protection legislation, you have and may exercise the following rights, following verification of your identity:

Specifically, with regard to the use of technologies such as cookies, you may at any time change your preferences and withdraw your consent by changing your selections at the bottom of the Website’s Cookies Policy.

Additionally, with regard to your precise location via browser, you may remove this location data and withdraw your consent directly from your browser’s location privacy settings.

In the event that you exercise your rights of rectification, erasure, or restriction of your data, these requests will also be transmitted to any third-party recipients to whom such data may have been disclosed by us in the context of providing the Company’s Services.

The exercise of the above rights is carried out by submitting a relevant written request to the Company via the Website, to which we undertake to respond within a period of one (1) month from receipt. This period may be extended by a further two (2) months due to the complexity of the request and/or the large volume of requests.
